E-mail sync with Google Workspace: activate sync

Set up email synchronization between your Google Workspace mailbox and Carerix using OAuth2 authentication for automatic email delivery.

This guide explains how to establish a synchronization between your Google Workspace email inbox and Carerix. Once activated, your emails will automatically sync between both systems, keeping your Carerix inbox synchronized with your Google Workspace mailbox in real time.

Prerequisites

Before you begin, ensure that:

You have a Google Workspace account with an active email mailbox

  • You have administrator access to your Google Workspace domain (or your domain administrator has completed the trusted app setup)

  • Your Carerix system has Google Workspace integration enabled by your system administrator

  • You have completed the Carerix trusted app setup in Google Workspace (one-time domain-level setup)

Note: The trusted app setup is typically completed once by your Google Workspace domain administrator. If you are not an administrator, ask your IT team to complete this step before proceeding.

Activate Email Synchronization

Follow these steps to enable email sync between Google Workspace and Carerix:

Step 1: Open your account settings

  1. Click on your name in the upper right corner of the Carerix application

  2. Select My Account from the dropdown menu

  3. Your account settings page will open

Step 2: Navigate to Email Settings

  1. Scroll down to the Email Settings section on the page

  2. You should see a dropdown menu labeled Provider Settings at the top of this section

Step 3: Select Google as your provider

  1. Click on the Provider Settings dropdown menu

  2. Select Google from the list of available options

  3. The page will refresh and show Google-specific settings

Step 4: Initiate OAuth2 authorization

  1. Click the "Start Mail Synchronisation" button

  2. A new browser window or tab will open with the Google authorization screen

Step 5: Select your Google account

  1. On the Google login screen, select the Google account you want to sync with Carerix

  2. If you have multiple Google Workspace accounts, make sure you choose the correct one

Step 6: Grant permissions to Carerix

  1. Google will display a permissions consent screen asking you to authorize Carerix to access your email

  2. Review the permissions (Carerix needs to read, send, and manage your emails)

  3. Click "Allow" or "Continue" to authorize the connection

💡 Tip: The authorization screen may ask to access your email, contacts, and calendar. This is normal and necessary for full synchronization to work properly.

Step 7: Automatic settings configuration

  1. After you authorize, Carerix will automatically configure your email settings based on your Google account

  2. All email settings fields will become read-only to protect your OAuth2 connection

  3. You will see confirmation that your settings have been saved

Step 8: Map your email folders (important)

  1. To complete the setup, you must map your email folders between Google Workspace and Carerix

  2. This ensures that:

  • Incoming emails arrive in your Carerix inbox

  • Archived emails are stored in your Carerix archive

  • Deleted emails appear in your Carerix deleted items folder

  1. Click the button "Edit Folders" or "Map Folders" in the Email Settings section

  2. A folder mapping interface will open — follow the prompts to match Google folders to Carerix folders

  3. Once mapping is complete, click "Save" to finalize

Important: Email synchronization will not begin until folder mapping is complete. If you skip this step, your Google Workspace emails will not appear in Carerix.

Verify Your Synchronization

After completing the setup:

  1. Return to your My Account page and check the Email Settings section

  2. You should see a status message like "Synchronisation Active" or similar confirmation

  3. Wait a few minutes for your emails to sync — you should see emails from your Google Workspace inbox appear in Carerix

  4. Check your Carerix inbox to confirm that emails are arriving

Stop Email Synchronization

If you need to disable email synchronization:

  1. Go to My AccountEmail Settings

  2. Look for a button labeled "Stop Mail Synchronisation" or "Disconnect"

  3. Click the button to stop synchronization

  4. All email settings fields will become editable again, and you can manually enter IMAP/SMTP settings if needed

Note: Stopping synchronization will not delete any emails already synced to Carerix, but no new emails will be imported after you stop.

Troubleshooting

"Start Mail Synchronisation" button is not visible

Cause: This button is only available when your Carerix system has at least one active Google Workspace email sync configured.

Solution: Ask your Carerix system administrator to enable Google Workspace integration in your system settings.

Google is not available in the Provider dropdown

Cause: Your system administrator has not enabled Google as an OAuth2 option in system settings.

Solution: Contact your Carerix system administrator and request that they add Google Workspace (IMAP OAuth2) to the available providers in system settings.

Google reports "unverified app" or "app is not verified"

Cause: Carerix has not been added as a trusted app in your Google Workspace domain.

Solution: Before you can sync email, your Google Workspace domain administrator must complete the trusted app setup. See Email synchronization with Google Workspace: add Carerix as a trusted app for detailed instructions.

Authentication failed or "Access denied" error

Possible causes:

  • Incorrect Google account selected

  • Your Google Workspace account does not have email enabled

  • Your user account lacks the necessary permissions to authorize third-party apps

  • Your Google Workspace domain has security policies blocking the connection

Solutions:

  • Verify you selected the correct Google Workspace email account

  • Confirm your account has email enabled (check with your Google Workspace admin)

  • Contact your Google Workspace administrator to check domain security settings and OAuth2 policies

  • Try the setup process again in an incognito or private browser window

Error message when clicking "Edit Folders"

Cause: The email settings were not correctly saved during the OAuth2 authorization process.

Solution:

  1. Go back to My Account → Email Settings

  2. Click "Stop Mail Synchronisation" to disconnect

  3. Click "Start Mail Synchronisation" again and repeat the authorization steps

  4. Make sure to grant all requested permissions on the Google consent screen

  5. Try "Edit Folders" again

Emails are not appearing in Carerix

Possible causes:

  • Folder mapping is incomplete or incorrect

  • Synchronization has not fully initialized (may take a few minutes)

  • Google Workspace emails are in a folder that was not mapped to Carerix

Solutions:

  • Verify that folder mapping is complete — return to My Account → Email Settings → Edit Folders

  • Wait 5–10 minutes and refresh your Carerix inbox

  • Check that your Google Workspace inbox emails are in the "Inbox" folder (not archived or in a custom folder)

  • If emails still don't appear, click "Resync" or "Force Sync" if available in your Email Settings

Synchronization suddenly stopped working

Possible causes:

  • Your Google Workspace password was changed

  • Your OAuth2 token has expired (tokens typically last 12 months)

  • Google Workspace domain security policies changed

  • Carerix trusted app was removed from your Google Workspace domain

Solution: Disconnect the sync and reconnect by following the activation steps above.
