Install and activate the Calendar

Upgrade the Calendar for improved synchronization between Carerix and your Google/Microsoft Calendar (CalendarSync)

With a few simple steps you set up the synchronization and can use your favorite calendar in Carerix.

The Calendar works through a connection with Microsoft Outlook or Google Calendar. All meetings scheduled in your Microsoft or Google calendar are automatically displayed in the Calendar.

Note: The Calendar only shows meetings from your connected calendar. Are you still using the unconnected, standalone Carerix Calendar? Then unsynchronized appointments will remain visible in Carerix, but in a different location: under the Activities tab .


STEP 1 - by Administrator: Activate the Agenda

To make the Calendar available to the users, the administrator has to activate this feature

  1. In your Carerix application, go to Maintenance > Marketplace

  2. Under Calendar, click Install and then Activate
    Optional:

    • "Scheduler is active"
      Additional monthly fees may apply when activating the Scheduler

  3. Refresh the page to log in again

  4. Under My Account, check if the Calendar sync settings tab is visible

Inform your colleagues about STEP 2 (and do it yourself too)

STEP 2 - by User(s) : Start Google/Microsoft sync

Each user can easily start the synchronization of his or her personal calendar

Go to Calendar in your Carerix application

  1. Click on Start Synchronization

  2. Authenticate your Google or Microsoft account

    (use your Google/Microsoft username and password for this, not the Carerix one).

  3. Return to Calendar

Synchronization has started. The initial synchronization can take up to 30 minutes , but is usually completed within a minute.

From now on, your calendar will refresh automatically and you no longer need to manually refresh the page.

Google/Microsoft automatically sends meeting requests to meeting participants. This eliminates the need to send a separate email from Carerix with an .ics file. Of course, you can still send email templates from the Calendar, including via an automated trigger. However, attaching the .ics file is unnecessary. As an administrator, you can review and edit email templates. If you need assistance with this, please contact our Customer Success team.

Not sure if your calendar sync is active? Here's how to check:

  1. Go to My Data

  2. Under the Carerix Sync Settings tab, see the status :
    'Your Carerix Agenda is synchronized with yourmail@yourdomain.com'

  3. The synchronization between your Carerix and Google/Microsoft Calendar is active

Please note there's are difference support on features for Microsoft EAS (Exchange ActiveSync) and Microsoft EWS (Exchange Web Services). EAS and EWS are two communication protocols used by Microsoft Exchange Server for different purposes.

Carerix Calendar will support all features for EWS accounts (which is the most commonly used of the two protocols). Carerix Calendar will not support MS Teams, Visbility and some for EAS accounts.

Using Microsoft Teams may require one-time authentication by the administrator of your Microsoft environment.

For some types of Microsoft accounts, in combination with using MFA, the Advanced Settings section of the Sync setup must be used.

An app password is required if 2FA is enabled and authentication is done without a security code.
