Connect Office 365 / Exchange Online email to Carerix (OAuth2 sync setup)

How to configure a synchronization for Outlook via oAuth2

This guide explains how to connect your Microsoft 365 / Exchange Online mailbox to Carerix using OAuth2 authentication.

After connecting:

  • Emails from your Office 365 mailbox can be retrieved in Carerix

  • Carerix can synchronize folders such as Inbox, Archive, and Deleted Items

  • Authentication is handled securely via your Microsoft account.

Before you start

Make sure the following requirements are met:

  • Your organization uses Microsoft 365 / Exchange Online

  • Your mailbox is active and accessible

  • Your administrator allows third-party OAuth connections

  • You can log in to your Microsoft account in a browser

Important: If the connection fails, contact your Microsoft 365 administrator.

Establish the synchronization

Step 1: Open your account settings

  1. Click your profile name in the top-right corner of Carerix.

  2. Select My Account.

Step 2: Select Office 365 from Email settings

  1. Scroll to the Email settings section.

  2. From the Mail service provider dropdown, select Office 365.

Step 3: Start synchronization

Click Start Mail Synchronization.

Step 4: Authenticate with Microsoft

A Microsoft login page opens:

  1. Choose your Microsoft account

  2. Sign in to your Microsoft Office 365 account

  3. Grant permissions to the Carerix app

After logging in and granting permissions, all required email settings will automatically and correctly be registered in Carerix. All email settings fields become read-only, and your email synchronization is almost ready to go.

Step 5: Map your folders

To finish the setup, you need to map the respective folders in Carerix and Office 365. This ensures that mail from your Office 365 inbox arrives in the Carerix inbox, archived mail stays in the archive, and deleted mail is found in the deleted items folder.

  • Click Edit folders and map the following folders:

💡 Tip! Start with the most commonly used folders (Inbox, Sent Items, and Trash). You can add more folders later if needed.

Stopping synchronization

To stop synchronization:

  1. Go to My Account → Email settings

  2. Click Stop Mail synchronization

This removes:

  • OAuth authentication

  • Email settings

  • Folder mappings

Note: Stopping synchronization won't delete any emails already imported into Carerix. It only stops new emails from being synced.

Troubleshooting

Wrong Microsoft account selected

If the wrong mailbox is connected:

  1. Click Stop Mail synchronization

  2. Open a private/incognito browser window

  3. Log in to Carerix

  4. Repeat the setup steps

Why: Your browser may automatically log in to a previously used Microsoft account.

The "Start Mail synchronization" button is missing

Contact your Carerix administrator or helpdesk to enable IMAP OAuth2 for your environment.

💡 Tip! This is a one-time setup that your administrator must configure for the entire organization

Office 365 is not available in the dropdown

Your administrator must enable Microsoft as an OAuth provider in system settings.

Error when clicking "Edit folders"

If you get an error message when clicking "Edit folders", something is not correct in your email settings:

Try:

  1. Refresh the page

  2. Repeat the login process

  3. Reconnect the mailbox

Common causes:

  • Incorrect password or username

  • OAuth2 permissions not granted properly

  • Microsoft account used does not have mailbox access
