In the Carerix AI permission settings, you'll come across two screens that both mention "prompts": Prompts and Prompt access policy. The names look almost the same, but they control two different things. Here's the short version.
In short: Prompts decides what a role can do with the prompts themselves. Prompt
access policy decides who manages the rules that filter which prompts a role gets to see. Most users only need the right access on Prompts — access to the policy rulebook is normally reserved for Admins.
Prompts: the prompt library itself
This screen controls what a role can do with the actual prompts — the ready-to-use AI instructions your team works with, like "Summarize this CV" or "Write a job description". Can this role read, create, edit or delete prompts?
Look at the READ column: Admins (Beheerder) have "All" — they see every prompt. Recruiters have "Policy" — they only see the prompts that a rule allows for their role.
Prompt access policy: the rulebook behind it
This is not a second set of prompts. It's the screen that controls who may view or manage the rules that decide which prompts show up for which role.
What this means for your roles
Admin (Beheerder): full read access to both screens — sees every prompt, and can also view and edit the rules that decide who sees what.
Recruiter: read access on Prompts is set to "Policy", so they only see the prompts the rulebook allows. They have no access to Prompt access policy itself (set to "None"), so they can't see or change those rules — they just experience the result.
⚠️ Good to know: when you create a prompt and tick a role under "Available for", that only works if the role's Prompts permission is set to "Policy". If a role's Prompts permission is "None", ticking that role under "Available for" has no effect — the role won't see the prompt at all, no matter what the individual prompt says.
