With Recruitment Marketing Automation (RMA) you can automate manual actions in a simple way. To set up automations, you go through a number of steps. This article describes the steps you can take.

Example of an automation: When a match stage is updated to the match stage "5.2 Placement" AND the procedure of the vacancy is 'Detachering', update the candidate status to 'Placed'.

1. Set the starting point of the automation

Determine the starting point of your automation. The files below have the same options to start an automation:
Created (file has been created)
Created or updated (file has been created or updated)
Updated (file has been updated)
All standard date fields available in the file.
(Creation date, modification date, start date, end date, date of birth, etc.)
When you choose the "updated" option, you have the possibility to add a filter. If you do this, the automation only starts when the field in the filter is updated.
Example: You want the automation to start when the candidate status is changed to 'Placed'
Candidate - updated - add filter - status = equal to "Placed"

By clicking the plus icon you add a "next step" and can determine the next step of your workflow.
Add = This step adds something in your Carerix application. In the configuration you determine which fields are filled when adding.
Email: Add to an email in Carerix - No email is sent, it is only added to the file
Job Application: An application is made to a vacancy (a Match is created, and a candidate if it does not yet exist)Note: Add a note in Carerix
Task: Add a task in Carerix
Post webhook: Send a webhook to another system (Advanced users only)
Row: Integration with Google Sheets (Advanced users only)
2. Delay = Build a delay into your workflow of minutes, hours, days, weeks or months.

3. Filter = Filter on specific data. Only files that meet this filter continue in the automation; the rest is dropped.
In this example, only matches whose vacancy has the procedure 'Detachering' continue in the automation.
You can add AND/OR conditions to the filters to funnel further.
Find = Find a file in Carerix by a specific number or email address. Data from this file can be used in the rest of your workflow.
Loop = Look for files linked to the starting point of your automation. Every loop has its own standard options.
In this case the match is the starting point and you can search for:
All contacts linked to the Client of the match
All matches of the linked candidate
All matches of the linked vacancy
Message = Send out communication.
Send Email: Send an email
Send Message: Automatically send a WhatsApp message via a template for which you do not expect a reply from your candidate.
(Birthday wish)
Send Survey: Send a WhatsApp message via a template with a predefined form of questions, for which you expect answers and want to process those answers in the rest of the automation or in Carerix.
Prompt = Add AI to your workflow
Split = Create multiple filters to let automations follow multiple routes
Update = Update files and fields of linked files
Add as many steps as you need to create your desired workflow.

In the top right corner you find the option to test the automation workflow.
👉🏼 Please note: This only tests the workflow. No communication will be sent out. Do you want to test the full flow? Then use a test file in Carerix and add the ID of your candidate, vacancy or placement to a filter, so the Automation only runs on the files you want to test with.
