📊 Time-to-Fill Dashboard

The Time-to-Fill Dashboard in Carerix gives you a clear overview of how long vacancies stay open and how successful your recruitment efforts are. Use this dashboard to track performance, spot trends, and identify where your process can be improved.

What the dashboard shows

The dashboard includes the following key metrics:

  • Successfully closed jobs
    The number of vacancies closed with a placement.

  • Unsuccessfully closed jobs
    The number of vacancies closed without a successful placement.

  • Success ratio
    The percentage of closed vacancies that resulted in a hire.
    Calculation: (Hired jobs / Total closed jobs) × 100

  • Average time to fill
    The average number of days a vacancy is open before it is successfully filled.

  • Average time to close (unsuccessful)
    The average number of days a vacancy is open before it is closed without a hire.

The Time-to-Fill Dashboard can only display accurate data when your Job Status configuration is properly set up. For the dashboard to function correctly, it’s essential that your job status tables include the correct classifications.

How the dashboard identifies job status:

  • A job is considered active when it has a status with the vacancystatusclass tag: "Vacancy active tag"

  • A job is considered closed when it has a status with the vacancystatusclass tag: "Success, end status" (EndStatusSuccessTag) or "Unsuccessful, end status" (EndStatusUnsuccessTag)

⚠️Please Note: If an active status has both an active and an end tag, the dashboard will not function and will display errors. Make sure your statuses do not have conflicting tags.

⏱ How time-to-fill is calculated

Time-to-fill measures the number of days between:

  1. The moment a job becomes active (based on job status), and

  2. The moment the job is closed — either successfully or unsuccessfully.

🔄 Important: The total time includes all periods during which the job is active. If a job is reactivated after being inactive, the time is not reset — it continues from the original activation date.

✅ Best practices

  • Make sure job statuses are correctly configured in your system, with the proper vacancystatusclass tags.

  • Set and update job statuses consistently to ensure reliable reporting.

  • Avoid toggling jobs between active/inactive unnecessarily, as it may affect the accuracy of the dashboard.

Visualizations

The dashboard also includes the following graphs:

  • Average vacancy duration per procedure (stacked column graph)
    Shows the average number of days vacancies remain open, grouped by procedure and result (hired / not hired).

  • Closed vacancies trend (bar chart)
    Tracks the number of closed vacancies per time period, broken down by result.

  • Filled vacancies per procedure (pie chart)
    Displays how filled vacancies are distributed across procedures.

Filter options

Use filters to focus on specific data:

  • Date period – Select a specific time range.

  • Recruiter – View results per recruiter.

  • Agency – Filter by recruitment agency.

  • Company – Filter by client or internal business unit.

  • Contact – Focus on a specific contact person.

  • Procedure – Filter by the recruitment procedure used.

  • Identify which procedures result in faster hires.

  • Spot trends in successful vs. unsuccessful outcomes over time.

  • Compare average time-to-fill between recruiters or clients.

  • Use filters to drill down into specific areas or performance gaps.
