Time-to-Hire Dashboard

The Time-to-Hire Dashboard provides insight into the efficiency and speed of the recruitment process, including:

  • Track Recruitment Speed: Metrics such as average time-to-hire, broken down by department, role, or recruiter.

  • Identify Bottlenecks: Analyze each phase of the recruitment process to find delays.

  • Benchmarking: Compare current recruitment times with industry standards or historical data.

  • Resource Allocation: Assign resources more effectively based on insights.

  • Improve Candidate Experience: A smoother process enhances the candidate’s experience.

  • Support Strategic Decision-Making: Time-to-hire data helps make strategic recruitment decisions.

👉🏼 Ensure the proper setup of your recruitment process/match stages:
The Time-to-Hire Dashboard can only display accurate data when your match phase configuration is correct. For the dashboard to function properly, ensure that:

  • All active match phases are assigned to a phase group.

  • Match phases implying the match/recruitment process is completed are set accordingly (end phase = yes).

  • Match phases implying a placement/hire are set as such (Match process successfully completed is checked).

In essence, a time-to-hire dashboard not only measures the efficiency of the recruitment process but also provides actionable insights to improve overall recruitment strategies and processes.

Dashboard Charts

The Time-to-Hire Dashboard consists of the following charts:

Matches Hired & Matches Rejected

Counters for matches hired and rejected provide insight into the number of matches successfully completed for the selected period and the number of matches closed without success.



Criteria for inclusion in the count:

✅ Matches that, during the selected period, were placed in a phase configured as an end phase (end phase = yes).
✅ Match phases with "end phase = yes" and configured as "Match process successfully completed" are counted as "Hire."
✅ Match phases with "end phase = yes" but without "Match process successfully completed" are counted as rejected.

Success Ratio

Shows the percentage of matches successfully completed over the total number of completed matches in the selected period. We divide the number of hires by the total number of completed procedures. Ongoing (not yet completed) recruitment processes are excluded from this calculation.

Criteria for inclusion in the ratio:

✅ All matches placed in a phase configured as an end phase during the selected period.

Average Time-to-Hire

The average amount of time (in days) needed to convert a match/recruitment procedure into an actual hire.

Criteria for inclusion in the calculation:

Matches with a match phase meeting the following criteria are included in the calculation:


✅ Match phase is configured as an end phase.
✅ Match phase is configured as "Successful."

For all these matches, we add up the number of days from the match creation to the moment a match phase is first set to an end phase and marked as successful. We then divide this total by the number of matches meeting the criteria.

This calculation is performed for all matches in the system, regardless of the time period.

Average Time-to-No Hire / Time-to-Reject

The average amount of time (in days) needed to close a match/recruitment process without hiring a candidate.

Criteria for inclusion in the calculation:

Matches with a match phase meeting the following criteria are included in the calculation:

✅ Match phase is configured as an end phase.
✅ Match phase is not configured as "Successful."

For all these matches, we add up the number of days from the match creation to the moment a match phase is first set to an end phase but not marked as successful. We then divide this total by the number of matches meeting the criteria.

This calculation is performed for all matches in the system, regardless of the time period.

Average Time in Match Phase Group

The average time matches spend in a match phase group is shown in this graph. Successful match procedures are separated from unsuccessful ones. All matches placed in an end phase during the selected period are included in the calculation.

⚠️ Note: The averages in this graph may differ from the average time-to-hire and time-to-reject due to skipped match phases, resulting in a much lower number of matches in one phase group compared to another or the total.

Match Funnel (Dropout)

The funnel graph shows the percentage of completed matches per phase group that were rejected during the selected period. For example, in the screenshot, 25% of completed recruitment procedures were terminated while the match was still in the "New" phase group. By clicking on a segment, a new graph opens showing the number of dropouts for each match phase within the respective phase group.

Criteria for inclusion in the graph:

✅ Match phase is configured as an end phase.
✅ Match phase is configured as not successful.
✅ Match was placed in an end phase during the selected period.

Matches Hired/Rejected Trend

This graph shows the trend in the number of completed recruitment procedures, broken down into hires and no-hires, for the selected period.

Criteria for inclusion in the graph:

✅ Matches with a match phase configured as an end phase.
✅ Match was placed in an end phase during the selected period.

Dashboard Filters

All graphs can be filtered by the following parameters:

  • Time period

  • Recruiter

  • Client

  • Job title

  • Match source

  • Match medium
