Notetaker install & activate instructions

Admins install the tool. Each user connects their own calendar account.

💡 Notetaker & Transcript — Available for Carerix editions Starter, Essential and Premium. Corporate customer? Contact your CSM for the options.
You can already find the Notetaker and Transcript features in the Marketplace. To make them available for your organisation, contact your Customer Success Manager. The CSM will inform you about the editions and the Notetaker's monthly usage costs, and will ensure the install button is unlocked. After this, the admin can easily install and activate the features themselves via the Marketplace.

1. Install the Marketplace feature "Transcripts"

This step is performed once by the administrator.

  1. Go to the Marketplace, under Maintenance in the left menu within Carerix.

  2. Search for and install the 'Transcripts' feature.

  3. Then set the desired permissions per user role — for Create / Read / Update and Delete. Don't forget this step!


2. Install the Marketplace feature "Notetaker"

This step is performed once by the administrator.

  • Go back to the Marketplace and install the 'Notetaker' feature.


3. Users: Connect your account

After the administrator has completed the steps above, users can connect the Notetaker to their calendar. An active Calendar Sync in the Carerix Calendar is required for this.

  1. Go to My Profile in the top right of Carerix and navigate to the CalendarSync settings panel.

  2. Click the 'Connect' button to connect your Google or Outlook calendar.

    Note: You need an active Calendar Sync, otherwise the Connect button will not be visible.


Microsoft verification

Are you using Microsoft? Then a Microsoft administrator will likely need to grant one-time consent to use the application within your organisation. This depends on the customer-specific Microsoft settings.

Once the first user connects the Notetaker sync (see screenshot), the app "Carerix Notetaker Connect" is submitted for approval:

  • Does a Microsoft administrator connect first? Then the app is immediately approved for the entire organisation.

  • Does a user without administrator rights connect first? Then a request is automatically sent to the Microsoft administrator.

The administrator can approve the request in the Microsoft Entra / Azure Admin Center via https://entra.microsoft.com


When does the Notetaker become active?

After connecting, your calendar is automatically synchronised in the background. From that moment on, the Notetaker will automatically join appointments that meet these two conditions:

  • The appointment contains a video link (Microsoft Teams, Google Meet).

  • You are the owner (organiser) of the appointment, or you have explicitly accepted the invitation as a participant.
