Creating a New User
In this article, we explain how you, as an administrator, can grant a new employee access to Carerix. By creating a user correctly, you ensure that the appropriate permissions are assigned and that the email signature can be generated accurately from the start.
Procedure
Follow these steps to add a new user to the application:
Navigate to Users: In the main menu, go to Maintenance > Users.
Open the Overview: Click on the 'All Users' tab
New User: Click the [+ New] button.
Complete Details: Fill in the fields in the detail screen thoroughly:
User Role: Select the desired role to determine the correct access rights.
Office: Choose the office where the employee is based.
Password: Enter an initial password that meets the security requirements (minimum of 12 characters) and set an expiration date if necessary.
Personal Information: Enter the first name, last name, and contact details.
Business Email: This address will be used as the sender for emails.
Social Media & LinkedIn: This information is often automatically placed in the email footer.
Job Title & URL: These fields are for informational purposes and for use in templates.
Save: Click the [Save] button.
Attachments: If desired, you can add documents (such as an image for the signature) via the 'Attachments' tab after saving.
Important Considerations
Email Settings (Self-service)
As an administrator, you cannot complete the email integration (Outlook or Gmail) for the user. The user must do this themselves after their first login via 'My profile'.
Licenses and 'Active' Status
New users are set to 'Active' by default. If you are unable to check the "Active" box, you have likely reached the maximum number of licenses (seats). In this case, you will see the following message:
"The maximum number of active users (#) has been reached."
Need extra seats? Send a request to customersuccess@carerix.com to increase your license count.
Deactivating a user? When an employee leaves the company, you must block their access to free up a license. Please refer to the article: Set user to inactive.
