How to set a notification if a document is about to expire

You want to receive a notification if the validity of a document, like a driver license etc. is about to expire.

Method

Define type of documents

Define the different types of documents as follows:

  1. Go to 'Maintenance' | 'Tables' | Table "Document candidate"

  2. Click [New]

  3. At English, type the name of the document type.

  4. Click [Save]

Remark: Use the table "Document placement" for placement documents.

E-mail template

Create an e-mail template that is used by the trigger to send the notification. Give the template a recognisable template-code.

  1. Set manually with CxScript the responsible of the candidate as receiver.
    You can do this by choosing at 'To': "Owner".

  2. You can order a custom notification template by contacting the helpdesk.

Next, set the Trigger:

  1. Go to 'Maintenance' | 'Triggers'

  2. Click on [New]

  3. At Name, fill in the name of the trigger and set the trigger as follows:
    - If event: "Candidate document valid until passes in..." 'Value of your choise'
    - Then action: "Send E-mail from template with code" 'The code of the template'

  4. Click [Save]

Update candidate file

Add Candidates documents at the 'Attachments-tab'.
Set the expiration date as follows:

  1. Go to 'Files' | 'Candidates'

  2. In the candidate file, go to the 'Admin-tab'

  3. Scroll to the block 'Documents'

  4. Click at type document on 'Select'

  5. Select the document 

  6. At valid until, fill in the expiration date.

  7. Save the file
