Microsoft Calendar: sync sometimes didn’t start correctly

Due to this fix, re-authentication is required starting August 4.

Google appointments (OutOfOffice, FocusTime, LocationType)
This type of appointment is created via Google Calendar. When trying to update these appointments in Carerix, an error occurs.
Temporary solution: we will display these appointments as read-only in Carerix.
Expected delivery: Q4.


Calendar sync limited to a total of 60 days

After activating sync with Outlook/Google, Carerix only displayed appointments within -30/+30 days. This has been changed to -180/+180 days.

Note: Outlook/Google is the source; no appointments have been deleted.
And, next updated will remove any date limitations (expected October)

Information about the Calendar Sync update
From mid-July we changed the technical setup of the calendar synchronization between Carerix and Outlook/Google Calendar. This change has been gradually rolled out to all customers.

Since this change, it is unfortunately no longer possible to link recurring appointments to Carerix fields such as Facility, Type, Result, Reminder, or Related record. Existing recurring appointments remain visible in your calendar, but without these links.

We thoroughly investigated whether we could avoid this limitation. Unfortunately, it turned out not to be possible, as we must prioritize the stability and reliability of the calendar synchronization.

📌 Functional changes

  • Recurring meetings can no longer be linked to Facilities, Type, Result, or Cases.

  • Single events (non-recurring meetings) remain unaffected.

  • You will need to log in again once to restore synchronization.
    To do this, click the red “Start synchronization” button.
    It may take up to 30 minutes for all your meetings to reappear.

Depending on the security settings in the customer’s Microsoft environment, it may be necessary for the Microsoft administrator to grant one-time consent. This can be done in two ways:

1. Via the Carerix user method:
If the Microsoft administrator is also a Carerix user, it is sufficient for this user to sync their calendar. The Administrator should select checkbox "Consent on behalf of your organization" in order to grant consent for all their users.

During this process, consent can be granted directly.

2. Via the Entra Portal (Microsoft Azure)
The Microsoft administrator logs into the Entra ID Portal, navigates to Entra ID, and then to Admin consent requests and Enterprise Apps, where the required permissions for the application "Carerix calendar - production can be granted.

There are currently two active, separate apps related to Carerix Calendar:

  1. "Carerix Calendar – Production"
    This app is used to sync your calendar.
    Latest version: 04-08-2025

  2. "Carerix MS Teams"
    This app is specifically for Microsoft Teams video conferencing.
    Latest version: 05-01-2023


📨 Communication to admins
Carerix has informed all admins of customers using the Carerix Calendar Sync via email. You can find the full email at the bottom of this Help page.



Known issues /bugs:

1. Linked entity is not added, when creating a new meeting
Occurs occasionally due to rapid Nylas V3 webhooks.
✅ Resolved.

2. Appointment type color not applied
✅ Resolved.

3. Recurring appointments from colleagues not visible in planner view
The team is working on a fix.
⏳ Expected resolution: end of August.

4. Errors when updating special Google meeting types (OutOfOffice, FocusTime, LocationType)
Short-term solution: these events will be displayed as read-only in Carerix. Expected in 2 weeks.

5. Microsoft calendar sync occasionally fails to start
✅ Resolved.
Note: re-authentication may be required.

💡 FAQ

I need to sync but I’m getting an error
Check if you’re using the correct Outlook or Google credentials by signing in directly to Outlook or Google Calendar.

I’m seeing a message that my Microsoft admin needs to approve
Your admin automatically received an email from Microsoft about this.
Ask your admin to approve via https://portal.azure.com/#home.
If your admin also uses the Carerix calendar sync, it’s sufficient for them to restore their own sync by clicking “Start synchronization”.

My recurring meeting no longer has a color
That’s correct. Since recurring meetings can no longer be linked to the Type field, colors are no longer applied to them.

Can I still book a meeting room for recurring meetings?
No, this is no longer possible.

Is there a workaround for booking meeting rooms?
While booking via Carerix Facilities is no longer possible, you can consider these workarounds:

  • Use meeting rooms via Outlook or Google Calendar.

  • Create an Outlook meeting room with its own email address.

  • Add this email address as a Carerix contact person.

  • Invite this “contact-person-room” to meetings → the Outlook room will then be added to the appointment.

  • Check room availability directly in Outlook or Google Calendar. Recurring events from Contacts can't be displayed in Carerix.

Soon, the way recurring appointments work in the Carerix Calendar will change. These changes will be gradually rolled out to customers from Thursday, July 16th, 2025 onward, then the appointments will no longer be stored in Carerix itself, but retrieved directly from your calendar provider (Microsoft Outlook or Google Calendar).

This change is necessary due to adjustments in the Calendar integration, and ensures more reliable and faster synchronization of your calendar appointments.

What this means for you

Recurring appointments can no longer be linked to the following Carerix fields: Type, Result, Reminder, Facilities, Related files, and Internal Notes. This means the following:

  • You can no longer link recurring appointments to client files - recurring appointments will no longer be visible under Client, Meetings tab.

  • You can no longer reserve facilities (meeting rooms) via recurring appointments. You won't see these in "Find time & Resources" either.

  • When a colleague leaves the organization, their recurring appointments will no longer be visible in Carerix.

What doesn't change

  • You can still create recurring appointments and they will continue to sync with Microsoft Outlook or Google Calendar

  • Regular (non-recurring) appointments continue to work exactly as you're used to.
